a.) Preparation of the Daily/Monthly roster of the pilots.
b.) Preparation of the necessary documents for pilot’s licenses, Medical & working visas/permits.
c.) Maintenance of the currency and order of the pilot’s records.
d.) Maintenance of the currency of the pertinent documents of the office library such as the ASC (Air Safety Circular), Air Regulations, Air Law, etc.
e.) Keeps accurate and true records of Pilot’s daily/weekly/monthly/yearly flight time and to be able to make a forecast/statistics that they will not exceed the limitations accordingly.
f.) Take minutes and keep records of every pilot’s meetings.
g.) Extend help to newly hired expatriate pilots during their adjustment period.
h.) Provide assistance to the pilots in their daily business needs.
i.) Able to answer phone calls most of the time.
j.) Directly responsible to the orders and directives of the Flight Operations Manager.
k.) Review and screen all the posted pilot application resume for initial qualification.
Additional Info
During the time that I was working abroad in the Maldives, I was selected as "Employee of the Year" in the year 1999. The company that I have worked for is selecting an employee every year to be awarded as the employee of the year. Although the company is not that big, the selection is quite tough and not that easy because the company is composed of several different nationalities such as Asians, Europeans, Americans, etc. They do select the employee who have worked diligently and served the company with no buts and ifs, have that charm to be well respected and adored by his or her workmates, and probably a lot more criteria which the managers themselves only knew.
I have added this information to provide my prospective employer a view of how I deal with such a job and possibly my principle in life.
