Scenario:
Needing to create one master (Excel) spreadsheet that will be used as the Master Staff Schedule for a large festival like event.
The master schedule must be easy to manipulate at a later day by any user as staff names, shifts hours, event dates etc may change.
Information:
This festival like event has two locations (Venues) Ytown/Dtown. There will be two shifts per day - AM/PM.
There are four Zones per venue. Teams will be assigned to work one or two of the Zones throughout the festival dates. Teams will only work one Zone per shift.
Each Zone will have an assigned Captain. The Captain is not a part of the 'Team'.
Each Zone has an identified estimate of staff required per shift per day to complete the job roles within that Zone.
All members of a Team will work the same schedule for the entire festival and only work ONE Venue.
Outside HR Managers will be responsible to input 'Team' employee names into the Master Schedule.
What I need:
1) A master schedule that will allow us to input staff names again roles at a later date.
2) The ability to search by venue, by zone, by captain and by team member
3) The grouping of Teams and how they are scheduled and rotated through the various Zones.
4) The reporting hierarchy on the master schedule.
5) The shift breakdown, including 1 scheduled meal break as per labour union rules.
This schedule should be easy to use, capture as much informaiton on a summary sheet as possible and update automatically as information changes.
Please use pivot tables, reverse pivot tables or any tools you know to make this happen.
